We keep things simple. The personal information we may hold includes:

  • Property address
  • Email address (if you contact us)
  • Telephone number (if you provide it)
  • Details you include when requesting a quote or making an enquiry

For some marketing activities, we may obtain:

  • Property addresses and, where available, homeowner names from publicly available property records (for example, HM Land Registry)
  • Information available through public planning application portals

We do not collect sensitive personal data.

  • Respond to enquiries and provide quotations
  • Carry out construction services for our clients when agreed
  • Send relevant postal marketing about our services

Our Legal Basis

  • Contract – where we are providing a quotation or carrying out works

When we send postal marketing, we ensure it is relevant, proportionate, and not excessive.

Direct Mail

From time to time, we may send one or more letters to properties that we believe may be suitable for our garden room or garage services.

We do not send unsolicited marketing emails or text messages without consent.

You can object to receiving postal marketing from us at any time (see “Opting Out” below).

How We Store Your Information

We currently store limited contact details (such as names and property addresses) securely using controlled-access systems, including secure cloud-based spreadsheets.

As our business grows, we may move to a secure Customer Relationship Management (CRM) system to manage enquiries and customer records more efficiently.

We take reasonable steps to protect personal information from unauthorised access, loss or misuse.

Who We Share Information With

We do not sell personal data.

In some cases, we may share limited information with trusted service providers (such as printing or mailing companies) solely to help us deliver marketing or provide our services. These providers are required to handle data securely and only for the agreed purpose.

How Long We Keep Information

We only keep personal data for as long as reasonably necessary:

  • Enquiry information – typically up to 12 months
  • Customer records – as required for contractual, warranty and tax purposes
  • Marketing records – for the duration of a campaign or until you ask us to stop contacting you

If you opt out of marketing, we may retain minimal details on a suppression list so that we do not contact you again.

Photographs of completed work

We photograph the structures we design, supply and install, and we use those images in our marketing — including our website, printed and digital advertising, and our social media channels.

These photographs show the completed structure and its immediate setting. We do not photograph our customers or members of their household, and we do not publish customers’ names, full addresses or postcodes alongside them. Where we refer to a location, we do so only in general terms (for example, “a private garden near Godalming”).

Where a photograph might indirectly identify you — for example, where your property is recognisable to those who know it — we rely on our legitimate interests in promoting our business as the lawful basis for using it. You have the right to object to this at any time, and you may ask us to remove an image of your property. Please contact us at sales@arbourbespoke.co.uk, and we will remove it from material within our control as soon as reasonably practicable. Once an image has been shared or reposted by others, we cannot guarantee its removal from third-party platforms.

If you would prefer that we did not photograph your project at all, please tell us before work begins and we will record this on your file.

Your Rights

You have the right to:

  • Request access to the personal data we hold about you
  • Request correction of inaccurate information
  • Request erasure of your data (where applicable)
  • Object to receiving marketing from us

You also have the right to lodge a complaint with the Information Commissioner’s Office if you believe your data has been handled improperly.
